Information Methods Policies Form Pre-Reg List      For the safety of everyone in attendance at our convention, including our staff, the following registration policies have been adopted for Dotcon 2008: Waiver/Registration Form       You are required to submit a completed and acceptable waiver (included on the registration form at the registration desk in order to claim your convention pass.      Photo identification must be presented if you are claiming a convention pass. If you are under 13, and have not yet provided a completed waiver of liability, you must do so in order to claim your pass. Parental Consent       If an attendee is under the age of 13, they must have the completed and acceptable parental consent portion of the registration form signed by their parent or legal guardian.      Any attendee under the age of 13 must have a completed and acceptable consent form signed by a parent/legal guardian and must be accompanied by an adult chaperone at all times. The chaperone may be anyone of 18 years of age or older. Identification       Identification will be required to pick up passes for pre-registered individuals as well as those registering at the door. The following is acceptable for this purpose: Driver’s license Ontario Identity Card Dotcon Membership Card or Passport Citizenship card Passport Any photo ID (eg. work ID) WITH any other ID that shows your birth date (eg. birth certificate)      If an attendee does not have any identification, they will not be able to pick up pre-registered passes nor purchase a convention pass at the door. Payment and Processing       Confirmation notices are only issued by email. A confirmation notice that the registration form has been processed is sent in approximately bi-weekly batches for greater efficiency. Attendees can generally expect to receive email confirmation approximately 2-4 weeks after we receive their registrations.      Badge registration numbers will be issued within confirmation emails, as well as a unique PIN number which you will be required to submit at the registration desk in order to claim your pass. Payment status will be posted on the Dotcon website, by badge number, and updated as often as we can.      Remember that electronic and conventional mail is not 100% reliable. Allow some extra time for processing of your registration. Every effort will be taken to ensure that no registration is missed, but we do not take responsibility for missing, late, or misdirected registrations.      Pre-registration closes on October 1st, 2008 October, 20th, 2008. Any registrations received after this date will be disregarded and will not be our responsibility.      Qualification for the pre-registration discount is based upon the postmark of conventional mail or the timestamp of electronic payments.      Regarding electronic payments (Paypal): any transaction fees incurred (eg. by the credit card company, bank, online service etc.) will be the sole responsibility of the sender of the funds. Furthermore, we will not be responsible for any loss or interruption of online transfers due to technical difficulties (eg. server problems etc.). Please be aware of the security conditions of your online service and use at your own risk.      In the event that a payment is returned NSF (“non-sufficient funds”), please be aware that you will be charged fees by your credit card company, bank, etc. We will not be responsible for refunding these fees. The convention pass will not be issued unless we have confirmed that all outstanding payments have been received.      For any NSF payments, you will have 5 business days within which to complete your payment. After 5 days, your registration will be cancelled.      All convention passes are non-refundable. US Funds       The current exchange rate for US to Canadian funds (as of January 2008) used by Dotcon is $1 USD to $1 CAD but is subject to change without notice. We will attempt to update this rate as often as possible.
